Staff Network Drives Information

H:\ drive

This is space on the network that is set aside for your own personal use. By default you are assigned 500MB of disk space. When you exceed that limit during a save, the save will continue until done. Once you have exceeded your space limit no more files will be allowed to be saved until you have deleted some files to make enough room to get you below your space limit. You can make a copy of your folders and/or files using one of many CD burning utilities. Use these notes to help you with the Roxio CD burning software. If, you still do not have enough space to continue saving files to the H:\ drive than you can call IT at 7777 and request more space.

P:\ and R:\ drives

Pickup and Dropoff drives are for instructors to share data with Students only. Staff/Instructors should be using the S:\ drive for sharing data back and forth.

The P:\ and R:\ network drives are limited to instructors and students. Anyone else who needs access will need to request that access through their department coordinator. This is because everyone in the group that has access to P:\ and R:\ has FULL permissions to both P:\ and R:\ network drives. Students can only get (copy) files from the P:\ drive, and put (save) files to the R:\ drive. Instructors have full rights to both P:\ and R:\ drives. Thus, INSTRUCTORS can do ANYTHING to EVERYTHING in there! In the past, the entire College could access these drives by default; someone got a virus that deleted a TON of files including student assignments!! So…as a result, we try very hard to eliminate non-required access. The auditors also REQUIRE us to control access to network drives.

Also, because this area is for instructors to drop off assignments/exams for students and then the students return them for the instructor to remove and mark; this area is TEMPORARY storage only. Thus, it is not backed up. It is not to be used as a storage area. In fact, we used to wipe it clean every semester. We now let instructors maintain this area due to the time it takes to confirm and then delete, etc. etc.

One more thing – EVERY student at Olds College has READ permissions to EVERY file in the Pickup. That also means that they can COPY stuff too. This is as designed – they are supposed to be able to do that. Many people forget that students can see all that stuff in there; so again, it may not be the best place for two Olds College staff to share data back and forth if you don’t want students seeing it/copying it!

If you need to share data regularly, let’s talk about other options other than Pickup and Dropoff because of the reasons listed above.

S:\ drive

If, you still do not have enough space to continue saving files to the H:\ drive than you can call IT at 7777 and request more space. You can see all the folders on the S:\ drive but you can only access the folder and subfolders that you have access to. You can add, delete, rename subfolders to the folder you have access to. Only Information Services (IT) can add or remove individual's access to a folder. To do this you will need to fill out the Drive Space Authorization Form.
