
Request to Proctor a Make-Up Exam

Proctoring Olds College Student Exams
It is generally understood that instructors will arrange and supervise make-up evaluations if students are not able to write an exam during the scheduled time. Where instructors are not able to accommodate these make-up evaluations, the Olds College Library is able to provide some limited support to those instructors.
It must be understood that the library may not be an ideal exam setting since:
- other students will be working on and discussing a variety of assignments and projects within close proximity to the designated exam site;
- students can not be constantly monitored.
Protocol for Library Proctoring of Make-up Exams
In the event that a student misses an exam and made prior arrangements with the instructor to complete a make-up exam, the following responsibilities apply:
The Instructor will:
- Fill out the form requesting that library proctor the make-up exam;
- Include with the form a copy of the exam for each student who will be writing. Each exam must be marked with a student’s name i.e. if 3 students need to write an exam, 3 exams, each marked with the student’s name, will be sent to the Library.
- Inform the student of the dates and times during which the exam may be written;
- Ensure students understand that they must book the exam time with library staff prior to writing the exam.
No more than 4 exams should be forwarded to the Library without prior discussion regarding the Library staff’s ability to accommodate that number.
The Student will:
- Contact the Library to arrange a mutually agreed upon time for writing the exam;
- Present their student ID card to Library staff at the time of writing;
- Leave all book bags, coats, etc. with Library staff while the exam is being written;
- Complete the exam within the allotted dates and times.
Library staff will:
- Arrange a mutually agreeable time for the evaluation;
- Locate a table or carrel within visual range of the desk;
- Occasionally watch a student to try to ensure they are working alone;
- Collect exams from students;
- Mail exam to Instructor on agreed upon date and time.
